Privacy Policy

ATOM Legal Information Corporation ("the Company," "we," "us") is committed to complying with Japan's Act on the Protection of Personal Information (APPI) and other applicable laws and regulations concerning the handling of personal information. We have established this Privacy Policy to ensure the appropriate handling of personal information.

1. Collection of Personal Information

The Company collects information about users by lawful and fair means, within the scope necessary to achieve a clearly stated purpose of use.

2. Purposes of Use

Except where permitted by the APPI or other applicable laws, the Company will use personal information only within the purposes of use listed below, or purposes separately notified or published.

Personal information collected for a purpose under any of the following categories may also be used for other purposes within the same category.

(1) Information collected in connection with legal services provided by the Company
  • Handling of client matters and related communications
  • Responding to inquiries
  • Research and studies to improve the Company's services
  • Other purposes incidental to the above (including the notices and services listed in (2) below)

Note: For quality control and record-keeping purposes, telephone inquiries may be transcribed, and the transcribed text may be processed using generative AI or other information-processing systems. Where this occurs, the Company takes necessary safeguards such as removing or pseudonymizing directly identifying information, managing access permissions, and restricting the use of input data for machine learning, among other security measures.

(2) Information collected in connection with the provision of legal information (including notices of opportunities to receive such information)
  • Notices regarding the Company's activities (including greeting cards, New Year's cards, etc.)
  • Notices of and applications/registrations for seminars, lectures, and other events
  • Notices regarding the Company's services, and the sending and collection of surveys
  • Other inquiries and requests for information within the scope of this category
(3) Information collected in connection with recruitment of the Company's staff, and of lawyers, tax accountants, and other staff or trainees affiliated with the ATOM Legal and Tax Group ("the Group")
  • Providing recruitment information and receiving applications or inquiries
  • Ongoing communication with applicants and informing them about the Company
  • Personnel management and training after hiring is confirmed
  • Other purposes incidental to recruitment activities

3. Provision of Personal Information to Third Parties

(1) Restrictions on provision to third parties

Except in the cases below, the Company will not provide personal information to third parties.

Where personal data is provided to a third party located overseas, the Company will take necessary measures, such as obtaining consent, in accordance with applicable law. Where personal data is handled using a service provider or server located overseas, the Company will take appropriate and necessary security measures based on an understanding of the relevant data protection framework and other external conditions in that country.

  • Where prior consent has been obtained from the individual
  • Where required by law
  • Where necessary to protect a person's life, body, or property, and it is difficult to obtain the individual's consent
  • Where particularly necessary for public health or the sound development of children, and it is difficult to obtain the individual's consent
  • Where cooperation with a national or local government body, or an entity entrusted by them, is necessary to perform duties prescribed by law, and obtaining consent would impede the performance of those duties
  • Other cases permitted under the APPI
(2) Joint use within the ATOM Legal and Tax Group

The Company shares personal information for the purposes of service improvement research, and providing information and surveys regarding services offered by the Company and the Group, jointly with: ATOM Legal Professional Corporation (Nagatacho, Chiyoda-ku, Tokyo), of which the Company's representative director, Takeshi Okano, also serves as representative partner; ATOM Inheritance Tax Accounting Office (Seiji Okano Tax Accountant Office, Nagatacho, Chiyoda-ku, Tokyo), with which Takeshi Okano is also affiliated; and lawyers affiliated with the Group.

(3) Joint use with third parties outside the Group

The Company may jointly use personal information with third parties outside the Group for the following purposes:

  • Categories of personal information jointly used: Name, contact information (phone number, email address, address), inquiry content, and other information related to requests made to the Company
  • Scope of parties jointly using the information: Business partners engaged by the Company (professional offices such as lawyers, tax accountants, and judicial scriveners; medical institutions; insurance companies; and investigative agencies necessary for case handling)
  • Purpose of joint use: Handling of case matters and related work, coordination and referrals with relevant professionals, and research to improve services
  • Party responsible for management of jointly used personal information: ATOM Legal Information Corporation (see Section 7 for address and contact details)

Where a third party using the information jointly is located overseas, the Company will take necessary measures in accordance with Section 3(1).

4. Use of Cookies and External Services

4.1 Use of Cookies

Websites managed by the Company (the "Site") use cookies. Cookies are text files generated by your browser when you access the Site.

Cookies set on the Site do not contain personally identifying information such as name, date of birth, phone number, email address, or home address. Cookie information is used to help provide users with more appropriate services.

Users may configure their browser settings to be notified before a site uses cookies, or to decline cookies. Please note that if you disable cookies, some features of the Site may not be available.

4.2 Use of External Services

4.5 Restricting the Transmission of Information

Users may restrict the transmission of information to External Services by disabling cookies in their browser settings or using opt-out mechanisms provided by each External Service. Please note that disabling cookies may prevent certain features of the Site from functioning.

5. Security Management Measures

The Company implements necessary and appropriate measures to prevent the leakage, loss, or damage of personal information it handles, and manages personal information appropriately.

The Company also provides appropriate supervision of its lawyers and staff regarding the handling of personal information, and, where the handling of personal information is outsourced, supervises the outsourced party to ensure appropriate management of that information.

6. Disclosure, Correction, Suspension of Use, and Deletion of Personal Information

6.1 Disclosure of Personal Information

Where a request is made for disclosure of personal information held by the Company, based on the APPI or other applicable laws, the Company will confirm that the request is made by the individual concerned and will disclose the information without delay (or notify the requester if no such information exists).

6.2 Correction or Suspension of Use of Personal Information

Where any of the following applies, the Company will, upon confirming the request is made by the individual concerned, promptly conduct the necessary investigation and, based on the results, correct the content of the personal information or suspend its use, and notify the requester accordingly. Where the Company decides, for a reasonable reason, not to make a correction or suspend use, it will notify the requester of that decision.

(1) Correction of personal information

Where correction is requested under the APPI or other applicable laws on the grounds that the personal information is inaccurate or for similar reasons.

(2) Suspension of use of personal information

Where suspension of use is requested under the APPI or other applicable laws on the grounds that the information is being handled beyond the originally published purpose of use, or was collected by deception or other improper means.

6.3 Cases Where No Legal Obligation Applies

Where the APPI or other applicable laws do not impose an obligation on the Company to disclose, correct, or suspend the use of personal information, the preceding two paragraphs do not apply.

6.4 Deletion of Personal Information

Where a request is made for deletion of personal information, the Company will, where legally obligated to do so, or where the Company otherwise determines it appropriate to respond to the request, confirm that the request is made by the individual concerned, delete the information, and notify the requester accordingly.

6.5 Method of Request and Fees

Requests under this Section must be made to the contact point in Section 7, in the manner specified by the Company. A handling fee of 1,000 yen per request applies to requests made by users under this Section.
